Create Powerful Meetings for Greater Profits is a mission I’m passionate about because of the huge difference it can make in your future. I believe that most company meetings could be done in half the time with twice the productivity. Most people, when starting a meeting, just sit down and start. I think that is a big mistake. What if you took just a few minutes before a meeting starts, to go through some specific points that could make a big difference as to your results? Here are 10 points that could add to the productivity of your meetings dramatically!

1. CREATE POWERFUL MEETINGS FOR GREATER PROFITS BY MEETING IN A SMALLER RATHER THAN LARGER ROOM 

Create powerful meetings for greater profits.It’s better to have people packed into a smaller room than to have a few people in a large room. A packed room makes the meeting seem important. Small meetings lose their effectiveness if they’re held in a big room. It’s as if energy is lost in the empty space. And, if you’re meeting in a boardroom, and there is no alternative, slide any empty chairs up against the walls. If you’re making an important presentation at a client’s office, and two people are taking you into a big conference room, take charge of your environment by asking, “What I have to share with you is very important and this is a very big room. Can we go down to your office and sit around your desk?” That’s much more intimate and will make you much more effective.

2. NO EMPTY CHAIRS

Create powerful meetings for greater profits with no empty chairs. Empty chairs make it look like “What happened? Did those people know something I don’t? Why didn’t they show up?” Empty chairs make it look like the meeting wasn’t important enough. Adding chairs later makes it look like it’s getting more important. It’s much more productive to add chairs as people come late rather than leave chairs empty. Slide any empty chairs up against the wall. When somebody comes in late, just say, “Oh, we have more people than we expected. Can we pull up another chair for ______?” People who constantly come to your company meetings are setting a bad example for others. Don’t let them sneak into your meeting quietly anymore. Announce them nicely, by name, and watch how their promptness improves.

3. GOOD LIGHTING

Also, whenever possible, open the shades. Natural light adds life to your meeting. Sometimes there are different circuits for different lights in the room as well as dissolves. Walk over to the switches and make sure all of the lights are on and that the dissolves are all the way up. If some of the major lights in the room are out, call maintenance and get them to change the bulbs right away. Taking a few minutes to do this can add a lot of productivity to your meeting. A well-lit room adds life to a meeting!

4. NO DISTRACTIONS

Make sure there’s nothing behind you that will distract or any ongoing noises. If you cannot turn off an ongoing noise, look for another room for the meeting. It’s better to take a few minutes and move a meeting than to have people shouting at each other because of a distracting noise.

All phones are on the table. If one rings, have the person answer and tell everyone about the call or text. Walk around and make sure anyone taking notes on their laptop is actually taking notes rather than checking e-mails. If they’re checking e-mails, meet with them individually later and ask, “If you were running this morning’s meeting, and everyone was supposedly paying attention, but someone was actually checking their e-mails, what would you do about it?” Let them come up with the answer. Keep in mind that people will fight for their own ideas.

5. KEEP PEOPLE MOVING

In addition to official breaks, keep people moving by having them stand up and greet each other several times during a longer program. Ask them to tell someone else that they’re glad they’re there. Every 30 minutes is a good idea. You could do it on the hour and on the half hour. If you need to, have everyone walk around the room twice and sit back down. If possible, you may want to take people outside for a moment. The fresh air can give your meeting new life. Most people, when they sit too long, get tired and they stop paying attention. Keep them moving!

6. BE VERY INTERACTIVE

Whether you agree or disagree. Especially if you disagree because I’ve been known to be wrong.” Don’t ask for volunteers. Start on different sides of the room to get everyone to comment, one by one. When you have a series of points to present, stop and poll your audience after every point. If you need to, you could make adjustments in your presentation as you go along. Another way to poll your audience is to stop and ask, “What did you like best about my last point (or about my presentation)?”

 7. SHORT AGENDAS

Any other topics are to be discussed at a specific time after the meeting. Long agendas made the presenter look as if they are not organized. And, if your meeting is set for an hour, and you have 4 major items to cover, divide the hour into 4 and spend about 15 minutes on each item. Your audience will be learning from you about being organized and appreciate that you’re keeping the meeting on time. If someone wants to take you off your agenda points, say the following: “I’d like to hear more about that point. I just need to get back to my agenda. Can you and I meet in my office today at 3:00? I want to hear everything you’ve got on that point.”

8. RUN IT LIKE A TELEVISION PROGRAM

Get an app such as Presentation Clock (PClock). You can set it for any amount of time and even add an alarm when you get close to the end of the meeting. Get a second app, like Mind Spark Partners, that shows the cost in payroll, per minute, for everyone to be in the room. Call your meetings “Programs” and designate yourself as the Director. Set them for 29 minutes or 59 minutes. That’s television time. Unless something unexpected is brought up, stick to those time commitments and people will respect you. Give cues along the way as to time remaining and payroll spent. “Mary, thank you for getting right to the point, you can see that we have 10 minutes remaining in the program and we’ve already spent $4,000 in payroll.”

9. GIVE PEOPLE ALL THE RULES

Create powerful meetings for bigger profits.Let people know when the break will be and tell them they can go to the restroom or get some refreshments at any time. If someone needs to go to the restroom, they’re not paying attention to the presenter. When someone is thirsty, they’re not paying attention. Sometimes someone has a back problem and they cannot sit for long periods. It would be helpful if we let them know that it’s OK for them to stand up and move around. Giving people these freedoms will actually make them much more attentive and add to the productivity of the meeting. When taking breaks, set a timer and get people back promptly. Unless something urgent comes up unexpectedly, conclude the meeting on time.

10. DON’T GET CARRIED AWAY WITH POWERPOINTS

Create powerful meeting for increased profits.Too many people get enamored with PowerPoints and they use too many slides. Who’s the star of that program? Your screen! I’m not saying never to use them because, done appropriately, they’re great sales and teaching tools. Just don’t get carried away. Don’t find yourself reading a lot of words on a screen. Also, don’t give out detailed handouts at the beginning of a presentation. You’ve just lost 80% of your audience. They’re looking at your handouts. Give a summary handout at the end that they can take with them.

People tell me that they go through my above checklist before every meeting and they find that they have become much more productive than ever before. They’re doing twice as much in about half the time.

Focus on profitable sales.

Focus on profitable sales by doing some things that your competition will never consider. There are a few key elements that are found in most successful companies: A product or service that solves a problem or fulfills a need; dedicated employees who are compensated well and made to feel important; and a constant focus on sales. Without sales, there is no business.

Thus, if you need to put more emphasis on sales, here is an innovative idea that can help you generate more sales without costing a lot of money.

FOCUS ON PROFITABLE SALES BY BRINGING BACK PREVIOUS CLIENTS!

Focus on profitable sales.Most companies, if they’ve been in business for a number of years, have clients that come and go. What if we were able to bring back some of the clients that left? After all, they liked us at one point. I think most companies, who have been in business for a while, have a goldmine in their previous clients. This is a great way to focus on profitable sales by bringing back former clients.

Thus, look back at all of your previous correspondences in the past few years and identify the ones that had positive comments about your product or service. Send a hand-written note card to the CEOs of each of the companies. I was taught that it’s much better to start at the top and come back down than the other way around.

Don’t use note cards with your company logo. They may think that you have lots of those and send them to everyone. Go to a nearby drugstore and buy note cards that have a design on the front and are blank inside. You can get a set by Hallmark or American Greetings, with envelopes, for about $7 or $8. That way they may think that you got the card just for them.

THIS WILL HELP YOU GET BY THE GATEKEEPERS

Do not put a return address on the back of the envelope. I want the recipient to open it up immediately. To bypass gatekeepers, write the word “Personal” on the lower left-hand corner of the front of the card. Never meter these. Use stamps and specifically commemorative stamps. They look different.

Inside, the card will only have one or two lines and no phone number. You’ll include your business card behind the greeting card in the envelope. That way, it will simply fall out when they open the card.

Write the following note inside the card: “Dear ____________. I’m sorry for whatever we did to lose your business. I’d give anything just to have coffee with you and see how you’re doing.”

PROFITABLE SALES CAN RESULT FROM HAND-WRITTEN NOTE CARDS

Focus on profitable sales.People in my audiences who have done this have written to me and related the amazing results they got. A CEO in Portland, Oregon, after my speaking engagement, remembered that he lost a big client three years ago. He went out and bought the cards, bought the stamps, and wrote a short note, similar to the one above, to the CEO of the other company.

When the CEO of the other company got the card a few days later, he was so taken by the look of it (following my directions) that he called the sender right away. He said, “I don’t know what happened. Why don’t you get yourself over here tomorrow for lunch?” He went over for lunch and got the business back that week. This was a great way to focus on profitable sales.

ONE CARD WAS WORTH ALMOST A MILLION DOLLARS!

Another CEO, who had lost a very lucrative client, decided to bring him back. This was a client that bought hundreds of thousands of dollars in product from him every year. The first CEO prepared the hand-written note card, in a similar fashion to the example above.

Once he had placed the commemorative stamp on the envelope, and it was ready to go, he decided to place the card in a Fedex envelope. He labeled the air bill “Personal” and had it set for delivery the next day.

The second CEO got the Fedex envelope the next day. He was so shaken up by the process that he called the first CEO and they set a time to get together that week. That meeting resulted in a $956,000 sale! When he wrote me an email, explaining what happened, the closing line was: “The words Thank You cannot mean enough!” What a great result when we focus on profitable sales.

If a previous client doesn’t respond to the first card, send another one a month or two later. On that note, you might say, “Dear _________. I was thinking about you today.”

FOCUS ON PROFITABLE SALES BY MAKING IT A CAMPAIGN

Focus on profitable sales.If you want to be part of the crowd, then you could get lost among 200 emails. The hand-written note cards, when used in a continuous campaign, can indeed get you more profitable sales. The average person will never do this because they will think it can’t be that simple.

It is that simple and highly productive when you do it consistently. This is a very strong plan for strategic growth!

I’m suggesting you focus on 10 previous clients at a time and send each one a series of hand-written note cards, until they respond. I found that to be much more productive than being lost in those 200 emails.

IT’S A VERY PERSONAL TOUCH!

Most people in business have not seen a hand-written note card in many years, if ever. That’s what makes this idea work so well and get such great results. A hand-written note card, by you and not your secretary, is a very personal touch. It is feelings from the heart, expressed on paper.

This process makes the other person feel important. It appears that you actually took the time to go buy a card, a commemorative stamp, and you personally wrote a note. How much of that is being done these days? Hardly anyone is doing this.

That’s why it’s going to set you apart and help you get some of the past business back.

THIS CAN BE USED TO GET MORE BUSINESS FROM EXISTING CLIENTS

Focus on profitable sales.Want to get more sales from existing clients? Use the hand-written note card idea and use it often. When a client places a new order, send a ‘thank you’ note. If you have a nice conversation on the phone with a customer, send a ‘thank you’ note stating: “Dear _____, I enjoyed our phone conversation Thursday morning.” This shows that you are very thoughtful and it will make an impact.

When is the last time a customer got a note like that? Can we say, “Never?” That’s why this has such a profound impact. It shows that you considered the conversation important, you enjoyed it, and you wanted to express your feelings in a very special way.

It’s a series of steps, like these, that can bring back previous customers and help you get more sales with existing customers. Just think of how it makes you feel when you get a hand-written note card from someone else? This is such a simple way to focus on profitable sales.

THE FRIDAY AFTERNOON NOTES OF APPRECIATION

More sales.One CEO told me about a process they follow at his company on Friday afternoon which includes hand-written note cards.

At 3:30 every Friday afternoon, he and his 80 employees sit down to write two notes of appreciation. Phones are turned off. Soothing music is put on and wine is brought in for all employees. Everyone’s assignment is to write two notes of appreciation. One to someone within the company and one to a customer or supplier outside the company.

Their note cards have the following printed on the cover in a big heart: “With heartfelt gratitude.”

The CEO of that company told me that this Friday afternoon habit has dramatically improved the morale at his company and has added tremendously to their level of success.

As a result, employees throughout the week are looking for moments of appreciation they can write about on Friday afternoon. Thus, people are focusing on the positives rather than the negatives.

Use the above ideas for 90 days and watch how they improve your sales and your success!

You might even contact national TV networks such as CNN and see what happens. You’ll be helping the reporters do their jobs, which is to get new stories.

2. THE FEDEX IDEA THAT LEADS TO NEW CLIENTS

Sooner or later we will play ball. So give me a call.” You may choose to send a basketball by Fedex. Use a magic marker to write on it “Give us a shot.”

In the tenth week, call their secretary and find out their shoe size. Send one brand new shoe in a box with the following note: “I’m the one sending the Monday morning Fedexes. Now that I’ve got one foot in the door, call me.” The eleventh week, sent the matching shoe with the note: “I’m the one sending the Monday morning Fedexes. I know what you were waiting for to call me. You were waiting for the other shoe to drop. It just did.”

Google your potential USP’s and see if anyone is using them. Even if they are, as long as it’s in another industry, and there would be no confusion, you can get it trademarked for yours. Do so with a good trademark attorney. Your USP should then be on everything – website, business cards, all advertising and it should be used when your receptionist answers your phone.
